Advantages of National and International Conferencing

Published on: 10/18/2009
The world, especially the world of business, is a true global village. Modern communications of the new millennium has enabled us to reach out to people in every possible country and virtually every part of every country. Advances in mobile and satellite technology has made an ever shrinking world even more so. This article offers you the advantages of newer, lower cost international teleconferencing.

But first - What is Teleconferencing?

Teleconferencing, which is often also termed audio conferencing or conference calling, is the ability to connect people to a single call or presentation via phone and/or the internet. This adaption of the standard telephone service enables more than two users to connect easily and clearly. In fact, the advances made in telecommunication switiching now makes it possible to clearly connect literally hundreds or even thousands of lines. Also, available in the new millennium and greatly improved both in access and clarity is the addition of video conferencing.  In the past this required a telecom room with large cameras and video equipment that bordered on a Hollywood television or movie stage. Now often a PC or notebook with camera and internet connection  (high speed very much preferred) has quality video capabilities.

Also, newer presentation software makes online connection with fellow employees, customers or others cheap, timely and increasingly easy. This latest technological advance is Web Conferencing and is the fastest growing aspect of the conferencing world.  Web conferencing has really all but replaced video conferencing as presentation software is cheap and greatly adaptible to the aveage computer user.  One need only learn the basics and practical tools to become an effective conference moderator  (the controller of the conference)

Advantages of Conferencing

The greatest advantage of conferencing is that participants can attend to the important conversations on telephone even if they are sitting in their own office, home, hotel room, or now in 2009 even their car. Until just a few years ago, this was primarily only available nationally - in one's home country.  It was then possible for conference operators to connect overseas conferees, but this was more costly as the cost of international calls was still exepensive.  This has changed and now toll free numbers in non-US countries makes international conferecing much more viable for even smaller and midsize companies.

The following are more of the genuine advantages of teleconferencing, and video conferencing.

Reduction in Travel: The participants of any conference can be located anywhere on earth they have a phone connection. Reduction in travel means immediate savings in time, energy and of course money.  It is easy to know that conferencing saves cost and time of travel. Imagine savings without the in time and funding for packing, driving to and from mass transit, hotel, meals, evening entertainment.

Reduction in travel means SAVING TIME: If teleconferencing is used resourcefully a great amount of time for employees of any company is saved. Though the modern travel facilities like air travel have made distant traveling comfortable and speedy, a single journey consumes a lot of time indirectly because the employees usually take a flight to their destination check into a hotel, and then commute to the location of the meeting. After the meeting they come down to the hotel refresh themselves and return home. The meeting itself does not consume a lot of time, but the process of travel does.

Reduction in travel means COST REDUCTIONS: Conferencing enables employees to easily connect with as many people as needed people at totally different locations at the same time. One may sometimes look at the cost of a conference call and wonder why there is additional per person cost for connecting more people to a call than a call for two people.  This is because in order to have everyone connected with equal clarity  (all hear and can be heard clearly) a conference provider uses an electronic switch designed exclusively for conferencing. The cost of a the audio portion of a web conference or an audio only conference includes the cost for use of the switch.  This cost is  negligible when compared to the cost of travel and stay for all the people involved.  We cannot estimate this for you, but just imagine your cost for each individuals travel, meals, hotel and more.  This difference between travel cost and conferencing is even more dramatic when conferees are
from different countries!

Urgent Meetings: In cases of important decisions that require prompt input and information sharing, know that conferences can literally be established as quickly as you can contact the individuals to be involved.

Finally, unlike most meetings an entire conference can be made immediately available to others who were unable to attend with ONLINE RECORDING. The whole meeting can also be recorded and the 'minutes of the meeting' can be assembled after the meeting, indirectly saving a lot of time.
